Spanish Red Cross is leading one of the technical teams that are part of the Volunteering Alliance: the volunteering data management team.
In this team we believe that the volunteers of the Red Cross and Red Crescent are people whose intervention is local, but their impact transcends at a global level. If the National Societies where they operate:

intend to be the first choice of those who want to exercise solidarity by donating their time,

want to reflect their contexts with respect to their volunteers base,
-
have the purpose of being efficient in the fulfillment of their missions by providing volunteer services,

By a data management system we mean any system based on the management of data from volunteers and their subsequent processing, with the aim to provide the National Society with functionalities in all its layers. These functionalities must be aimed at the management and development of volunteer people, to report and to assist volunteer areas in making evidence-based decisions.
For the system to fulfill its purpose, should be structured around homogeneous processes that apply to all layers of the National Society to capture, process and share data internally, regardless of whether the system is paper-based, offline commercial software or online connected formats.
A volunteer data management system is key to National Societies because:

Facilitates more efficient management and better development of volunteering at all levels of the organisation in key areas such as volunteer insurance, accreditation, recognition and recruitment among specific target groups.

It can facilitate the management of the relationship and communication with volunteers on a mass or niche basis.

It enables local units and the other layers of the National Society to get a more realistic picture of their capacities, skills and human needs.

It can provide aggregated information to better understand its social base.

Facilitates the management of the National Society at different levels to make informed decisions based on the aggregated information obtained, helping to move from data and information to knowledge and collective intelligence.

Facilitates the exchange of realistic data with the International Federation.
The Spanish Red Cross is currently focusing on two lines of work:

Sharing practices and knowledge focused on data management among the members of the Volunteering Alliance.

Offering software solutions and accompanying National Societies that identify the need to move towards online database alternatives for the management of volunteers.
Sharing knowledge: we have developed case studies focusing on how four National Societies (British Red Cross, Fiji Red Cross, Honduran Red Cross and Kyrgyzstan Red Crescent) approach volunteer data management and how each has developed its own solutions based on its context and capacities.
